Data we collect

When you use the contact form we receive your name, email address, selected engagement type, year-end or interim date, and message content. Server logs may record IP address and browser type for security. Cookie data is described on our cookies page.

Purposes

We use inquiry data to respond to engagement requests, prepare fee estimates, and maintain records required for professional practice. We do not sell personal data.

Retention

Inquiry records without a signed engagement are kept up to twenty-four months, then deleted or anonymised unless a longer period is required for legal claims. Engagement files follow retention periods set by Japanese professional and legal requirements, often several years after the report date.

User rights

Subject to applicable Japanese law, you may request access, correction, or deletion of personal data we hold about you, and you may object to certain processing. Contact hello@routing-architectureorg.digital to exercise these rights. You may also lodge a complaint with the competent authority in Japan.

International transfers

Our primary records are held in Japan. If a parent company or correspondent firm outside Japan must receive personal data to complete an engagement, we do so under contractual safeguards and only to the extent necessary for the engagement.

Security

We apply access controls and confidential handling to engagement correspondence. No transmission method is perfectly secure; please avoid sending unnecessary sensitive identifiers through the public contact form.
